DPO
For any question about data protection, you can contact the data protection contact or officer at: [email protected].
Data collected
Pionra may collect the following categories of data:
- Registration data: email, username, display name, password stored as a hash, country, language preferences or, if you sign in with Google, the information provided by Google (email address, name, profile photo).
- Usage data: posts, comments, interactions, login timestamps, IP address, user agent and technical security logs.
- Payment data: payments are processed by Stripe, which acts as controller for banking data; Pionra does not store complete payment card numbers.
- Email reminders from the administrative steps calendar, only if requested: email address, language, dates entered in the calendar (arrival date, situation, residence permit expiry, moving-in date) and steps to be reminded of.
- Optional profile: city and postcode of residence, situation, settling-in stage and interests, if provided.
- Content you publish or send: posts, comments, reviews, photos and attachments, private messages.
- Approximate location, only if you use and authorise “Near me”: coordinates are rounded to around 1 km, used for searches and remain on your device for the session. If you save your neighbourhood, only the postcode and city are retained.
- Voice input, only if used: the recording is transmitted for transcription into text and is then not retained.
- Questions asked of the assistant: retained without a link to your account to improve answers.
- Notifications: if enabled, a technical identifier for your device or browser needed to deliver them.
Purposes and legal bases
Pionra’s processing relies on the following legal bases:
- Providing the service and managing accounts: performance of the contract.
- Automated content moderation (text and images), user safety and child protection: legitimate interests and compliance with our legal obligations.
- Moderation, security, fraud prevention and service improvement: legitimate interests.
- Targeted advertising or promotion involving tracking subject to consent: consent.
- Analytics audience measurement subject to consent: consent.
- Transactional communications: performance of the contract.
- Non-essential or marketing communications: consent or legitimate interests depending on the message.
- Email reminders from the administrative steps calendar: consent, confirmed through a link emailed to you. You can withdraw it at any time with one click in each email.
Recipients
Data may be disclosed to the following recipients:
- the strictly authorised internal Pionra team;
- OVH SAS for server and database hosting, with a datacenter in Roubaix (France);
- Cloudflare, for secure website delivery and storage of photos and files;
- Stripe, for payment processing;
- Resend, to send emails (transactional messages and reminders you requested) and receive certain emails addressed to Pionra;
- OpenAI, to automatically analyse posted or sent text and images (moderation, including private messages), transcribe voice input and run the assistant;
- Anthropic, for automatic content translation;
- Google, if you choose Google sign-in;
- your browser or phone’s notification services (Google, Apple, Mozilla, Microsoft), to deliver notifications you enabled;
- the IGN (Géoplateforme) and the French State’s Géo API (geo.api.gouv.fr), which receive the address, postcode or coordinates you enter for your neighbourhood or “Near me” (rounded coordinates when saving your neighbourhood).
Notifications in the iPhone app: if you turn them on, we keep the identifier Apple assigns to your device for notifications, the app language, your account if you are signed in, and the dates when you turned them on and when the last one was sent. We use this only to send you the notifications you asked for. It is deleted as soon as you turn notifications off in the app, when Apple tells us the identifier is no longer valid (for example after you uninstall the app), and when your account is deleted.
“Near me”: to search around you, your position is rounded to about 1 km and sent to our server. It is used only for that search: we do not store it in your account or in our databases. If you choose to save your neighbourhood, we keep only the postcode and the city.
Some pages display embedded videos (YouTube, Vimeo) or images hosted by third-party websites; these services may receive your IP address and set their own cookies. Partner links (Wise, through the Partnerize affiliate platform) lead to third-party websites with their own policies; Pionra may earn a commission.
These providers act on Pionra’s behalf, except Stripe, which is the controller for banking data. Pionra does not sell your data or share it for advertising purposes.
Transfers outside the EU
Pionra’s main hosting (servers and database) is in France at OVH SAS. Some providers are based outside the European Union, including in the United States (Cloudflare, Stripe, Resend, OpenAI, Anthropic, Google). These transfers are covered by appropriate safeguards: the European Commission’s adequacy decision (EU-U.S. Data Privacy Framework) where the provider is certified, or the European Commission’s standard contractual clauses.
Retention periods
- Active account: data is retained while the account remains active.
- Deletion request: the account stays active and visible during the 30-day cancellation period. Deletion or anonymisation follows; a technical failure may delay it. Subscriptions stop renewing when requested and are cancelled when deletion runs. If you cancel the request, renewal stays off: you can then turn it back on with “Manage my subscription” in Settings › Privacy, or by writing to [email protected].
- Private messages remain with recipients under a deleted identity; votes, likes and post reaction counts remain counted. Only blocks created by the person are deleted. Reports and moderation decisions are retained as evidence.
- Files (photos, attachments, exports) that are not used elsewhere on Pionra are erased from our storage servers after account deletion; if a technical problem occurs, erasure is retried automatically and may take a few days.
- Logs and audit logs: retained for at most 1 year.
- Records and data needed for accounting or evidence of transactions: 10 years for legal obligations.
- Email reminders: an unconfirmed request is erased within 7 days. Once reminders are confirmed, the email address and dates are erased automatically after the final reminder, or immediately if you stop reminders.
Minors
Pionra is for people aged at least 15. We do not knowingly collect data about younger children; if we learn an account belongs to a child under 15, we delete it. See also Child safety.
